Inter-library Loan Policies

Interlibrary loans are used to obtain items that are not available at Ensor LRC. ONLY Current Georgetown College students, faculty and staff may request interlibrary loans. GC alumni and community patrons are not eligible for this service and will be directed to use the public library for this service.
Subject to budget availability, each Georgetown College patron is allowed up to 40 ILL requests per fiscal year (July 1st — June 30th) without any cost. After the maximum ILL request limit has been reached or if the cost of a particular ILL item exceeds the bounds of the library budget, requesting patrons may be subject to a fee to help cover the cost of the item requested.
Baptist Seminary of Kentucky patrons will be charged $5.00 per ILL request.
Please allow three weeks to receive your request. For some items, it may take longer. However, articles may be received within the week if the lending library sends the article (s) electronically.
Books and journal articles (those articles not sent electronically) must be picked up at the Circulation Desk. When articles are received electronically, they will be forwarded via the email address you provided in your initial ILL request. Users will be notified via email when a requested item has been received or if there are any problems filling a request. Items that are not picked up will be returned to the lending library.
All interlibrary loan books and micro-film need to be returned to the Circulation Desk.
The loan period is determined by the lending institution. Usually, the loan period is four weeks. Renewals may be requested by contacting the Interlibrary Loan Department before the due date. Items can be renewed only once.
Institutions that loan materials, including Georgetown College, reserve the right to recall items at any time.
ILL items that are not returned to the LRC by the lending institutions’ stated due dates or are deemed “missing” or “lost,” will be subject to late fines and replacement fees. Patrons who habitually do not return or damage ILL items may be denied use of this service.
Items that are not available include:
• Entire volumes or issues of periodicals (only specific articles may be requested)
• Reference books or any media
• Rare materials, including manuscripts
• items published over 75 years ago
• items less than 6 month old
• Requests which may violate copyright limitations
Often, dissertations are only available at the issuing institution. Not all libraries will loan them. There is no certainty that a request for a dissertation can be filled or that you will receive it in a timely manner. The Interlibrary Loan Manager can usually determine the lending policy of the institution that holds the dissertation.
The copyright law of the United States (title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted material.
Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or reproduction. One of these specified conditions is that the photocopy or reproduction is not to be “used for a purpose other than private study, scholarship, or research.” If an individual uses a photocopy or reproduction for purposes in excess of “fair use” that user may be liable for copyright infringement.
This institution reserves the right to refuse to accept a copying order if, in its judgment, fulfillment of the order would involve violation of copyright law.
Georgetown College will loan materials for free to requesting institutions if we have a standing reciprocity agreement with said institution wherein we are not charged to borrow ILL items from their collections. Any institution that charges us for ILL requests will be charged $20 per item requested from out collections. Subject to budget availability, it will be the policy of the library to pay up to, but not exceeding $20 per ILL item that is requested on behalf of our patrons.
